Club Policy and Rules

Bay City Futsal Club is dedicated to fostering a safe, competitive, and development-oriented atmosphere for all players. The subsequent policies delineate the expectations and responsibilities of players, coaches, and families to guarantee a positive experience for everyone involved.

All members are expected to uphold these values at every practice, game, and club event.


Photography & Media Policy

  • Families may be asked for permission to use player photos or videos for club marketing, promotions, and social media.
  • Parents may record games for personal use but must not interfere with play or distract athletes.
  • No unauthorized photography or videography of other players is allowed without prior consent.


Communication Policy

  • All official club communication will be delivered through team communication apps or email.
  • Members must maintain professionalism when messaging coaches—no late-night or inappropriate communication.
  • For questions, concerns, or schedule issues, please reach out via email or phone.


Grievance & Complaint Process

If a player, parent, or coach has a concern:

  1. Address general concerns respectfully with the coach after a session.
  2. Serious issues—such as safety concerns, misconduct, or harassment—must be reported immediately.
  3. All reports will be handled confidentially and taken seriously by club leadership.


Player Registration

1. Annual Registration Requirement

  • All players must complete and sign the Bay City Futsal Club Player Registration Form, valid for one full year.
  • Registration confirms acceptance of all club policies, safety rules, and financial obligations.


2. Practice Attendance Requirements

  • Players are required to attend at least six practices per month.
  • Each player receives one excused absence per month.
  • Additional unapproved absences may affect playing time, tournament selection, or roster status.
  • Excused absences must be communicated to the coach before the session, unless it is an emergency.


3. Year-Round Training & Competition

  • Bay City Futsal Club operates year-round, including practices, winter leagues, and tournaments.
  • Players are expected to stay active in the program unless prior arrangements have been approved.
  • Tournament selection is based on attendance, commitment, effort, and coach evaluation.


4. Commitment Expectations

  • Registered players commit to being reliable teammates and representing the club at all scheduled events.
  • Failure to meet attendance, effort, or behavior standards may result in reduced playing time, roster removal, or reevaluation of membership.
  • Players are strictly prohibited from participating in futsal tournament play (including Regionals, Nationals, or any major futsal events) with any other club while rostered with Bay City Futsal Club. Any violation of this policy, including hopping between rosters or guest-playing for other futsal teams, will result in immediate termination of club membership and no refund of player registration fees.


5. Communication Requirements

  • Players and parents must notify coaches as early as possible regarding absences, injuries, or scheduling conflicts.


6. Refund Policy

  • Registration fees are non-refundable once the season or monthly training period begins.
  • Refunds are only considered in cases of long-term injury, relocation, or exceptional circumstances, and must be reviewed and approved by club leadership.
  • Tournament fees, uniforms, and special event payments are non-refundable once purchased or submitted.


Player Code of Conduct

Players

  • Respect teammates, opponents, referees, and coaches at all times.
  • Show good sportsmanship on and off the court.
  • Arrive on time, prepared to train or compete.
  • Communicate absences or injuries to coaches in advance.
  • No profanity, bullying, fighting, or disrespectful behavior.


Coaches

  • Provide a safe, positive, and structured learning environment.
  • Model professionalism and respect at all times.
  • Prioritize player well-being, development, and confidence.
  • Communicate clearly with players and families.
  • Follow all safety, safeguarding, and disciplinary standards.


Parents & Spectators

  • Support all players and coaches with positive encouragement.
  • Avoid coaching from the sidelines.
  • Respect referees and staff; no arguing or disruptive behavior.
  • Help maintain a positive environment for all athletes.
